ToDo Software that Works – Remember The Milk (RTM)

Let me preface this review if Remember the Milk ToDo Software with “Wow!”   That should give you an idea of where this is going.   The basic version of Remember the Milk (RTM) is free.  The Pro version of this ToDo Software is only $25/year.  The pro version synchs with your mobile devices.

Recently I was looking for new ToDo software.  I also wanted to be able to use it as a rudimentary Customer Relationship Management tool as well.  As ToDo Software, Remember the Milk definitely met all of my expectations and then some.

As a Software Designer, it is easy to tell when a package has “grown up” over an extended period of time.  Remember the Milk has ALL the earmarks.  It is simple to use and yet there are features inside of features inside of features if you want or need more horsepower. 

One of the common problems with simple to use software it that your often hit the ceiling of what is possible.  It is extremely annoying when you hit that ceiling before you really get the functionality you need.   Hitting the ceiling is certainly not a problem that Remember the Milk has.

Quick Overview

I’m not going to try to give a full overview of this powerful software, but I will touch on the features I was looking for.

•   ToDo items – grouped into categories (projects or home or work) and yet you can see what is due on a given day across categories – RTM can easily do this.
•  An easy way to prioritize items – RTM  can do this.
•  A way to attach notes to an item – Check
•  A way to tag items so you can create ad-hoc groups that go across categories or group tasks that belong together within a larger category – Check
•  I want to see tasks that are due today in my email – Check
•  I want to be able to be able to turn an email I receive into a task – Check
•  A way to import a group of tasks – Check
•  Synchronize with other people – Check
•  Synchronize with versions of the software on my iPad and iPhone – Check
•  Search for tasks – Check
•  Set Due dates naturally (e.g. “next Wednesday”) – Check
•  Synch with Google Calendar
•  Mark several tasks at the same time – Check
•  I don’t need all this but RTM synchs with Evernotes, Outlook, iCal, Android, Blackberry, Iphone and IPad,   You can also get SMS reminders pushed to your phone or tablet.
• Send a list to RTM as an email and have each line in the email becomes a task in RTM.  You can use the Smart Ad features.

In addition RTM has what they call “Smart Ad.”  When you enter an item you can include a few special characters and tell RTM things like when the task is due, what priority to assign the task, what category to put the task into and you can add tags.  You can do this manually OR you can do it to a group of tasks that your import.

 #1 – You can prioritize ToDo tasks

#2 – You can see at a glance tasks that are due today or overdue.

#3 – You can assign due dates, estimated time, tags, locations, URLs.  You can share the task with someone else.  The list also shows you how many times you have postponed a task and how many notes you have made about the task.

#4 – You can attach dated notes  to each task.

#5 – You can complete or Postpone ToDo Tasks

Using the tabs at the top of the page you can separate home and work tasks.  You can also create your own tabs for special projects or your own part-time business.

The bottom line is that Remember The Milk is a very powerful and yet very simple to use ToDo Software system.  I  certainly recommend it.
